1. Administration
a, Office Administration
- Manage the company’s meeting rooms
- Maintain general company’s operations office files
- Manage and place orders for office stationery, equipment and furniture
- Manage taxi cards, company grab account, phone line, internet
- Register, manage business card and parking space for employee
- Collect bills, invoices, check debit of services provider and submit to Accounting Department monthly
- Contact maintenance services if problems happen
- Other tasks as assigned by BOD/ HR Manager
b, HR Administration
- Create user/email and connect printers, scan folder for employee
- Create and update Employee info into Acumatica and related systems of the company
- Set up working space, equipment and other office facilities for employee
- Conduct the company events such as International Women’s Day, Vietnamese Women’s Day,..
- Coordinate with HR Department to organize year-end party, company trip and other activities
- Purchase and prepare TET gifts for the company
- Organize Li Xi for employee every year
- Organize annual health check-up
- Register the increase/decrease changing cases for accident insurance
- Check quotation and renew accident insurance contract
- 2. Recruitment activities support
- Ensure the company organization chart is updated every month
- In charge of all administration related to on-boarding process
- Send email to the company for recruitment internal referral bi-monthly
- Post and advertise job through various channels, such as recruitment channel, social media and professional networks
- Participate in Job fairs and in-house recruitment events
3. Reception
- Welcome visitors and direct them to the relevant office/personnel
- Receive and transfer calls, Fax to proper internal extension
- Receive and manage daily mails/ deliverer/ couriers
- Book flight, hotel, car rental for BOD, employees for business trip
* Requirements:
- Open for Fresh Graduates who has interest in administration and recruitment job
- Understanding of the general recruitment lifecycle (sourcing, screening, interviewing, and onboarding) is a plus
- Good communication 4 skills in both Vietnamese and English
- Good sense of people, good judgment and people assessment skills
- Good organization to manage multiple tasks and coordinate with different stakeholders efficiently.
- Good time-management skills, with the ability to prioritize tasks and problem-solving
- Careful, proactive, responsible, creative and result-oriented
- Be able to work independently or in team
- Comfortable handling confidential information
